Payment methods

The Payment methods tab configures the payment options available to your clients. This information appears on your invoices and is what lets your clients pay you.

The Payment methods tab in Settings

Overview

Two cards summarise the state of your configuration, each showing how many methods are registered:

Below them, the Configured methods section lists the existing methods with a badge giving their number.

Adding a payment method

  1. Open Settings, then the Payment methods tab.
  2. Click Add a method.
  3. The Add a payment method window invites you to choose the type to configure:
    • Stripe — cards
    • Transfer — bank transfer
  4. Select the type you want and complete the form.

Configuring a bank transfer

The Configure a bank transfer form runs in two steps.

Step 1/2 — General information

  • Method name (required): a label that helps you recognise this method in your settings, for example "Main bank transfer".
  • Default payment method: a switch. Turned on, this method is shown first on your invoices.

Step 2/2 — Bank details

FieldRequiredNotes
Bank nameYesE.g. BNP Paribas Fortis
Account holderYesE.g. Your Company Ltd
IBANYesThe international format of the account number
BIC/SWIFTYesYour bank's identification code
Local account numberNoBelgian or local format, if different from the IBAN
Payment instructionsNoThey appear on your invoices to guide your clients

Finish with Add the method, or Cancel to discard.

Tip: this information appears on every invoice you issue. Make sure it is correct before saving.

A useful instruction, for example: "Please quote the invoice number in the communication."

Configuring Stripe

Choose Stripe in the Add a payment method window, then follow the Stripe connection flow to authorise YouInv to collect payments into your account.

Online payment goes through Stripe only. Depending on what you enable in your Stripe account, your clients pay by card, Apple Pay, Google Pay, Bancontact, iDEAL or Klarna. PayPal is not offered as an online payment; a payment received by PayPal outside YouInv can still be recorded by hand on the invoice.

YouInv charges no extra fee on these collections, but Stripe applies its own commissions. Check its pricing terms.

Managing an existing method

Each method in the list has a ⋮ menu on the right, with four actions:

  • Set as default — the method is offered first on your invoices
  • Edit — reopens the form, pre-filled
  • Disable — removes the method from new invoices without deleting it
  • Delete — removes the method permanently

You can only have one default method at a time. Setting a new one replaces the previous.

Deleting a payment method is permanent. If you simply want to stop offering it, use Disable.

Invoices already issued keep the payment information assigned to them when they were created, even if the method is edited or disabled afterwards. Only new invoices carry the updated information.

Good practice

  • Give your methods descriptive names, "BE account" and "FR account" for instance, so you tell them apart at a glance.
  • Fill in the payment instructions to cut down on transfers with no communication, which are hard to reconcile.
  • Set a default method to save time on every invoice.
  • Disable the methods you no longer use instead of deleting them, so the history survives.
  • Always check the IBAN and the BIC before saving: they are carried onto your invoices exactly as typed.

Frequently asked questions

Can I configure several bank accounts?

Yes. You can register as many bank transfers as you need, a Belgian account and a French one for example.

How do I change the default method?

Open the ⋮ menu of the method you want and choose Set as default. The previous default loses that status automatically.

What if my IBAN is refused?

Check that the IBAN is typed in full. Belgian IBANs start with BE followed by 14 digits.
