Credit notes
Cancel or correct an invoice with a credit note
Credit notes
A credit note cancels an invoice you have already sent, in full or in part. It is the legal way to correct a mistake or to cancel an invoice.
When to use a credit note
- You sent an invoice with the wrong amount or the wrong VAT rate
- The client wants to cancel an order after it was invoiced
- You need to grant a discount after the fact
An invoice still in draft can be edited directly, with no credit note. Just click Edit on the invoice page.
Creating a credit note
- Open the invoice concerned (status Sent or Paid).
- Click the ... menu (three dots) at the top right.
- Select Credit note.
- A confirmation dialog shows the amount that will be cancelled. Click Create credit note.
- You land on the credit note, as a draft. Check the amounts.
- Click Send to deliver the credit note to the client.
Do not forget to send the credit note once created. While it stays a draft, it has no effect.
Correcting a VAT mistake
If you sent an invoice with the wrong VAT rate:
- Create a credit note on the wrong invoice (see above).
- Send the credit note.
- Create a new invoice with the correct VAT rate.
What happens technically
- The credit note is an invoice of type
CREDIT_NOTEcarrying negative amounts. - It is linked to the original invoice automatically. You can navigate from one to the other.
- Both documents (invoice + credit note) appear in your lists and in your accounting exports.
FAQ
Can I edit an invoice that has already been sent?
No. A sent invoice is a fixed legal document. To correct it, create a credit note and then a new invoice.
Can I delete a credit note?
While it is a draft, yes. Once sent, it can no longer be deleted.
Does the credit note cancel the invoice automatically?
No. The original invoice keeps its status. The credit note is a separate document that offsets the amounts. Both stay visible in your accounts.
