Understanding and using the Peppol network with YouInv

The Peppol Network

Peppol (Pan-European Public Procurement On-Line) is a secure international network that lets companies exchange electronic business documents, invoices among them, with anyone else on the network.

Why Peppol?

  • Standardisation: every document follows a standard format (UBL), which removes manual entry errors.
  • Security: the network is secure and guarantees the identity of both sender and recipient.
  • Legal obligation: more and more countries, Belgium included, are making e-invoicing over Peppol mandatory for B2B transactions.

Setting up Peppol in YouInv

YouInv is a certified Peppol access point. Here is how to configure your account:

1. VAT number

Go to Settings > Company and check that your VAT number is filled in correctly: that is what identifies you on the Peppol network.

2. Peppol configuration

Click the Peppol button in the application's top bar to open the Peppol configuration window, which holds your connection and your Peppol settings:

  • Automatic invoicing: turn this on to send your invoices over Peppol automatically as soon as they are validated.
  • Supported formats: you can enable or disable specific formats such as Peppol BIS Billing UBL Invoice V3 or XRechnung, depending on what your clients need.

Receiving invoices

Once registered on YouInv, you are registered on the Peppol network automatically. Your suppliers can send you invoices straight to your company number.

Sending invoices

When you create an invoice for a client, YouInv checks their Peppol eligibility automatically (visible in the Clients list).

  • If eligible: the invoice is sent electronically over Peppol.
  • If not eligible: you can send the invoice by ordinary email.

Delivery status

With Peppol you get a technical delivery confirmation. You know exactly when your invoice reached your client's accounting system.
