Reconciliation
Match your bank transactions with your invoices
Bank reconciliation
Reconciliation links your bank movements to your invoices, sales and purchase alike. It is the step that lets you state an invoice really has been paid. Reach it from Finance > Reconciliation.

Indicators
Three cards measure how far the matching has got. Each one shows a ratio (X/Y) and the percentage of the total:
| Indicator | Meaning |
|---|---|
| Matched transactions | Movements linked to an invoice |
| Pending | Movements needing your intervention |
| Unmatched | Movements with no corresponding invoice |
Lines that stay Unmatched are not all anomalies: bank charges, direct debits or transfers with no invoicing counterpart are not meant to be attached to a document.
Importing a bank statement

- Click Import statement, at the top right.
- The Import a bank statement window opens.
- Statement file: click Choose a document and select your file. The accepted formats are CSV, OFX and QIF.
- Bank account: choose the account concerned from the list.
- Confirm with Import, or give up with Cancel.
The imported lines then appear in the table, and also feed the Transactions screen.
The bank transaction table
| Column | Content |
|---|---|
| Date | The date of the operation |
| Description | The movement's label |
| Counterparty | The party involved |
| Account | The bank account moved |
| Amount | The movement's sum |
| Status | Matched, pending or unmatched |
| Linked invoice | The document the movement is attached to |
| Actions | Matching operations on the line |
A checkbox at the head of the column selects several lines at once.
The controls available are a Search… field, the All banks and All statuses filters, and a Filter button. When nothing matches, the table shows No transaction found.
How matching works
The Linked invoice column is the heart of the screen: for each movement, it shows the document it is attached to.
YouInv proposes matches from three signals:
- the exact amount
- the structured communication, when there is one
- the counterparty's name
A match found moves the invoice to paid. Movements where no match emerges stay to be handled by hand, by attaching the sales or purchase invoice concerned.
Setting payment instructions that ask for the invoice number as the communication improves the automatic matching rate markedly. This is configured on your payment methods — see Payment methods.
Exporting
The Export button downloads the state of the reconciliation, which is handy for sending your accountant a status update.
